UK Field Service Ltd ("us", "we", or "our") provides web based mobile workflow management solutions through a Software as a Service (SaaS) model, and operates the www.ukfieldservice.com website and mobile application(“App”). This privacy policy explains how we collect, use, and disclose of personal data through use of our websites and App, and the choices you have associated with that data.
For the purposes of this policy, UK Field Service defines the term “User” as an entity with which UK Field Service has an established relationship, the term “Customer” as any entity/individual who has an established relationship with a User, and the term “Visitor” as an individual that visits our front-end website (www.ukfieldservice.com).
Any information stored on UK Field Service’ platform is treated as confidential. All information is stored securely and is accessed by authorised personnel only. UK Field Service implements and maintains appropriate technical, security and organisational measures to protect Personal Data against unauthorised or unlawful processing and use, and against accidental loss, destruction, damage, theft or disclosure.

Those that use our products or services as Customers should be aware that it is the User’s responsibility to ensure that the collection and processing of Customer data is done in accordance with applicable law. For more detailed information concerning the protection of privacy when using our services, including requests for Updating, Verifying and Deletion of Personal Data, Customers may contact the associated Users directly. UK Field Service Ltd will not process Personal Data of Customers for other purposes or by other means than instructed by its Users.
2.3 Users
In order to provide services to its Users, UK Field Service Ltd collects certain types of data from them. Furthermore, UK Field Service Ltd’s Users collect information from Customers when they use our Platform. This section will describe how these two types of data are collected and used by UK Field Service Ltd. Data entered or transferred into UK Field Service Ltd by Users such as names, contacts, media files, etc., remains the property of the User and may not be shared with a third party by UK Field Service Ltd without express consent from the User.
2.3.1 Collection of User data
During a User’s registration and later on UK Field Service Ltd’s Platform, they provide information such as names, emails, addresses, company name, telephone, PO numbers and other relevant data. This information is used by UK Field Service Ltd to identify the User and provide them with support, services, mailings, billing and to meet contractual obligations.
UK Field Service Ltd Users can at any time access and edit, update or delete their contact details by logging on with their username and password to UK Field Service’ Platform, or by contacting UK Field Service. UK Field Service Users may create more Users with different privilege levels within their account. It is the responsibility of the User that creates other User accounts, to choose the level of access each User should have. Once these new Users log into UK Field Service, they meet the definition of User in this policy. UK Field Service Ltd will not retain User data for longer than is necessary to fulfill the purposes for which it was collected or as required by applicable laws or regulations.
2.3.2 Collection of Customer data
It is the Customer’s responsibility to ensure that collection and processing of data by Users is done in accordance with applicable law. UK Field Service Ltd will not process Personal Data for other purposes or by other means than instructed by its Users.
Customer data includes data from individuals which is uploaded, transferred or manually entered by an UK Field Service Ltd Customer or User, for the purpose of providing feedback to the User or fulfilling a contractual agreement. Personal Data may include personal contact information such as name, address, mobile number, GPS location, email address, business contact details and other sensitive Personal Data.
The purpose of collecting Personal Data in the cases outlined above, will vary as they are set up by UK Field Service Ltd Users. As UK Field Service provides services to a wide group of Users, this purpose may vary greatly. For Users in the European Economic Area (EEA), or for Users providing services to Customers in the EEA, the User will be the “controller”, as defined in the Directive and the GDPR. The purpose will consequently be defined by UK Field Service Ltd’s User.
2.3.3 Mouseflow
This website uses Mouseflow: a website analytics tool that provides session replay, heatmaps, funnels, form analytics, feedback campaigns, and similar features/functionality. Mouseflow may record your clicks, mouse movements, scrolling, form fills (keystrokes) in non-excluded fields, pages visited and content, time on site, browser, operating system, device type (desktop/tablet/phone), screen resolution, visitor type (first time/returning), referrer, anonymized IP address, location (city/country), language, and similar meta data. Mouseflow does not collect any information on pages where it is not installed, nor does it track or collect information outside your web browser. 2.3.4 Google Analytics
Google Analytics is a services provided by Google, Inc. (“Google”). Google Analytics uses cookies to help us analyze how users use our website. The information generated by these cookies (including your truncated IP address) is transmitted to and stored by Google. Google will use this information for the purpose of evaluating your, and other users’, use of our website, compiling reports for us on website activity and providing other services relating to website activity and internet usage. 3 Data Controllers & Processors
UK Field Service processes Personal Data both as a Processor and as a Controller, as defined in the Directive and the GDPR.
For Users, the UK Field Service entity which you as a User entered an agreement with when using UK Field Service’ platform, will be the Controller for User data, as outlined above in “Collection of User data” section.
For Customer data, as outlined in the “Collection of Customer data” section, the User will be the Controller in accordance with Directive and GDPR, and UK Field Service will be the Processor.
4 Transfer Of Data
Your information, including Personal Data, may be transferred to — and maintained on — computers located outside of your state, province, country or other governmental jurisdiction where the data protection laws may differ than those from your jurisdiction.
If you are located outside Ireland and choose to provide information to us, please note that we may transfer the data, including Personal Data, to our offices in Ireland, Spain or Poland and process it there.
Your consent to this Privacy Policy followed by your submission of such information represents your agreement to that transfer.

Your Personal Data is stored on secure servers hosted by our contracted hosting providers in Northern and Western Europe (Namely Ireland and the Netherlands). While we strive to use commercially acceptable means to protect your Personal Data, we cannot guarantee its absolute security.
7 Automated Decision-Making
UK Field Service does not make any decisions involving the use of algorithms or profiling which would significantly affect you.
8 Service Providers
We may employ third party companies and individuals to facilitate our Service ("Service Providers"), to provide the Service on our behalf, to perform Platform-related services or to assist us in analysing how our Platform is used.
These third parties have access to your Personal Data only to perform these tasks on our behalf and are obligated not to disclose or use it for any other purpose. We will not disclose your Personal Data to third parties unless you have consented to this disclosure or unless the third party is required to fulfil a request you have made or contract that you have entered into.

11 Retention of Personal Data
UK Field Service will not retain data longer than is necessary to fulfill the purposes for which it was collected or as required by applicable laws or regulations. For Customer data, UK Field Service’ Users have control of the purpose for collecting data, and the duration for which the Personal Data may be kept. For Customer data, Users with an active account will therefore have the responsibility to delete data when required. When a Users’ account is terminated or expired, all Personal Data collected through the platform will be deleted, as required by applicable law.

We may update our Privacy Policy from time to time. Any changes made to this Privacy Statement will be posted on this page so you are always aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it.
